Scope and acceptance
This Privacy Policy applies to https://www.easylatex.ai/ or https://app.easylatex.ai/ (the “Websites”), as well as the products, services, associated applications, and browser extensions provided through or in connection with the Websites (collectively, the “Services,” referred to as “EasyLaTeX”).
EasyLaTeX is operated and managed by Easylatex Technology Limited (“we”). References to “EasyLaTeX,” “we,” “us,” or “our” in this Privacy Policy refer to this operating entity. Where relevant services are provided or supported by our affiliates or third-party service providers, we will, where applicable, handle the relevant personal data in accordance with this Privacy Policy and applicable laws and regulations.
We value your privacy and are committed to protecting personal data you provide or generate while using EasyLaTeX Services. This Privacy Policy explains how we collect, use, store, share, and protect personal data, as well as your rights under applicable law and how you may exercise them.
“Personal data” in this Privacy Policy means information relating to an identified or identifiable natural person. For data we process on behalf of customers and information that has been anonymized so that it cannot identify a particular natural person, the scope of application will be determined by applicable laws and regulations and the specific processing circumstances.
How do we collect and use personal data?
Depending on how you use EasyLaTeX Services, we collect and use the following types of personal data. We process this data only where we have an appropriate legal basis and to the extent permitted by applicable laws and regulations.
1. Information you provide directly to us online
When you register for or use EasyLaTeX, complete your account profile, submit feedback, contact technical support, participate in surveys, or otherwise communicate with us, we may collect information you voluntarily provide, such as your email address, username, account profile, feedback, and other contact information. We use this information to create and manage your account, provide relevant Services, respond to inquiries, resolve issues and service requests, keep the Services operating normally, understand user needs, and improve our products. You may view or update some of your personal information in the account settings available within the Services.
2. Information generated when you use EasyLaTeX
When you access or use EasyLaTeX, we may automatically collect technical and log information relating to your use of the Services, such as your IP address, access times, browser type, device and operating system information, pages visited, activity records, error logs, and service operational status, depending on the features you use and the relevant technical configuration. We use this information to maintain service operations, troubleshoot technical issues, protect account and system security, analyze feature usage, improve user experience, and investigate and address unusual activity where necessary.
3. Content you upload, create, or process through the Services
When you use EasyLaTeX's academic research, literature management, notes, LaTeX editing, file conversion, compilation, or AI-assisted features, we may process content you upload, import, create, edit, or submit as needed to operate those features. This may include papers, literature materials, notes, documents, images, formulas, LaTeX source code, project files, reference information, compilation logs, and inputs and outputs exchanged with the AI assistant. We do not treat content you upload or create as information that may be freely used publicly merely because you use EasyLaTeX. The storage, access, sharing, deletion, and any third-party processing of such content will be governed by the other relevant provisions of this Privacy Policy and applicable laws and regulations.
4. Information received through sharing or referrals by other users
When other users share projects, documents, or other content with you through EasyLaTeX, or send you invitations through relevant features, we may receive information necessary to enable those features, such as the recipient's email address, invitation details, or sharing records. We use this information only as necessary for the relevant sharing, invitations, notifications, and service management, and handle it according to the specific features and applicable laws and regulations.
5. Information received through third-party services or public sources
Where permitted by law and supported by an appropriate basis, we may obtain information from third-party service providers, public sources, or other lawful sources in connection with service provision, account management, security, business communications, or product improvement. For example, when you sign in using a third-party account or use features provided by a third party, we may receive necessary account information or service interaction information within the scope authorized for that feature. For information obtained from public sources, we determine the scope of processing according to the specific purpose and applicable laws and regulations. We do not assume that all publicly visible information may be collected or used without restriction.
In the circumstances described above, we may also use relevant information, where necessary and lawful, to handle service inquiries, maintain user relationships, manage service operations, safeguard information security, and fulfill legal and regulatory obligations.
Where permitted by applicable law and supported by an appropriate legal basis, we may aggregate or anonymize service usage information to analyze service operations, evaluate feature performance, conduct statistical research, and improve our products. We will handle information that has been lawfully anonymized and cannot identify a particular natural person in accordance with applicable laws and regulations.
Please do not submit unnecessary sensitive personal data or third-party personal data unrelated to the purposes of the Services unless it is genuinely required for the relevant feature and we have fulfilled the corresponding legal obligations. If you submit another person's personal data, please ensure that you are entitled to provide it and have obtained any necessary authorization or fulfilled applicable notification obligations where required by law.
Legal basis for processing your personal data
EasyLaTeX will comply with applicable Hong Kong laws and regulations, including the Personal Data (Privacy) Ordinance (Chapter 486 of the Laws of Hong Kong), and will collect, use, retain, process, and protect your personal data in accordance with the data protection principles prescribed by applicable law.
We collect personal data only for lawful purposes directly related to operating the Services and only to an extent that is adequate but not excessive. We take practicable steps to ensure that the accuracy, security, and retention of personal data meet applicable legal requirements. Our main purposes and methods of processing personal data include:
- Providing and managing the Services. Creating and managing your EasyLaTeX account, verifying account information, providing features such as LaTeX editing, literature management, notes, file conversion, compilation, and AI assistance, and handling your inquiries and service requests.
- Maintaining service operations and information security. Processing necessary account information, technical logs, and service usage records to keep EasyLaTeX operating normally, troubleshoot technical issues, maintain system and account security, and prevent fraud, abuse, and other unauthorized activities.
- Improving products and user experience. Analyzing service operations, feature usage, and user feedback to evaluate and improve EasyLaTeX's functionality, performance, and service quality, in accordance with applicable law and the original collection purpose or a directly related purpose.
- Fulfilling legal obligations and protecting lawful rights and interests. Using or disclosing necessary personal data, to the extent permitted by applicable law, to comply with laws and regulations, respond to lawful regulatory or judicial requests, handle disputes, and protect our lawful rights and interests.
- Sending service-related notices. Using your contact information to send notices concerning your account, security, service operations, feature changes, or other important service matters.
We will not use personal data for a new purpose unrelated to the original collection purpose unless we have obtained the prescribed consent required by the Personal Data (Privacy) Ordinance and other applicable laws, or another applicable legal basis or exemption exists.
Subject to applicable law, we may aggregate or anonymize service usage information for statistical analysis, service evaluation, and product improvement. Where the processing involves personal data, we will continue to comply with applicable personal data protection requirements.
Who we share your personal data with
We share, disclose, or engage others to process your personal data only as necessary to provide and operate EasyLaTeX Services, for the purposes described in this Privacy Policy, or as otherwise permitted by applicable law. We do not disclose your personal data to third parties arbitrarily.
Where required by applicable law, we will obtain the necessary prescribed consent in advance for any use or disclosure of personal data beyond the original collection purpose or a purpose not directly related to it. We may share or disclose your personal data in the following circumstances:
- Service providers and business partners. We may disclose or transfer necessary personal data to third-party service providers acting on our behalf, such as cloud computing and hosting providers, data storage providers, network and information security providers, customer support platform providers, and other vendors providing technical support or operational services to EasyLaTeX.
- Third-party AI service providers. When you use AI features that rely on third-party technology or models, we may transfer necessary inputs and related files or data to the relevant service providers to fulfill your request. The types of data involved depend on the features you use and how the relevant services operate. We will take appropriate measures to manage the use, retention, and security of that data based on the actual processing arrangements and applicable law. Whether a third party retains inputs or uses them for model training depends on the actual service configuration, relevant agreements, and specific explanations in this Privacy Policy.
- Third-party services you choose to use. If you choose to use login, payment, file storage, integration, or other features provided by third parties, we may exchange necessary information with those parties to the extent needed to enable the feature. Their subsequent processing of personal data may also be governed by their own privacy policies and relevant agreements.
- Project collaboration and content sharing. When you invite others to a project, share documents, or use other collaboration features, we may display information necessary for sharing to your designated recipients or relevant project participants, such as your username, profile, project content, and collaboration records. Visibility depends on the relevant features, project permissions, and your settings.
- Institutional or organizational administration. If EasyLaTeX provides accounts or subscription services purchased, managed, or made available by universities, research institutions, or other organizations, we may provide their authorized administrators with information necessary to administer accounts or perform subscription agreements, to the extent permitted by the relevant service arrangements and applicable law. This may include account identifiers, subscription status, necessary usage statistics, or account administration records. We determine the scope of accessible information based on the actual features, account types, and permission settings, and provide notice where required by applicable law.
- Business transfers or restructuring. If all or part of EasyLaTeX's business undergoes a merger, acquisition, restructuring, or asset transfer, we may disclose necessary information to relevant advisers, prospective transaction parties, and their authorized representatives as needed to evaluate, negotiate, or complete the transaction, while taking appropriate steps to protect personal data. Subsequent processing of the information will comply with applicable law.
- With your consent or at your direction. Where you authorize us, expressly request it, or give valid consent under applicable law, we may provide relevant personal data to designated recipients within the scope you have authorized.
- Legally required disclosures. Where disclosure is lawfully required by applicable laws and regulations, court orders, or government and regulatory authorities with lawful authority, we may provide necessary personal data to the extent required or permitted by law.
- Protecting lawful rights and interests and handling disputes. To the extent permitted by applicable law, we may disclose necessary personal data to recipients entitled to receive it to handle legal disputes, investigate suspected fraud or abuse, safeguard the Services, or protect our lawful rights and interests.
- Publicly posted information. If you post personal information or other information in EasyLaTeX's public communities or other features that allow public posting, other users or the public may be able to view it. Please confirm the content and its visibility before posting. Content accessible only to specified project participants will be managed according to the relevant features and permission settings.
When we engage third parties to process personal data on our behalf, we use contracts or other appropriate measures, depending on the circumstances, to require them to process the data only for authorized purposes and to the extent necessary. We also require practicable measures to prevent unauthorized or accidental access, processing, deletion, loss, or other inappropriate use of personal data and to avoid retaining it longer than necessary for processing.
Please note that if you use EasyLaTeX through a managed account or institutional subscription provided by your organization, that organization may administer your account or access certain related information in accordance with its service arrangements with us, account administration permissions, and applicable law. Its specific permissions depend on the actual institutional account configuration and service agreement. We do not assume that an organization is entitled to access your private projects, documents, AI conversations, or other personal content merely because you registered using its email domain.
Security safeguards
We adopt technical and organizational measures appropriate to the nature of personal data, the methods of processing, and potential risks to protect your personal data against unauthorized or accidental access, processing, loss, destruction, alteration, disclosure, or other misuse.
These measures may include access management, authentication, protection of data in transit, system security monitoring, and other appropriate security management measures. We reasonably assess and improve existing security measures in light of technological developments, service operations, and relevant risks.
Although we take practicable steps to protect personal data, internet transmission and electronic data storage cannot be guaranteed to be completely secure. We therefore cannot guarantee that personal data will be free from security risks in all circumstances.
Personal data retention
We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, or for a period permitted or required by applicable laws and regulations. When determining retention periods, we consider the purposes of processing, the nature of the data, service needs, relevant legal obligations, and reasonable needs for handling disputes or protecting lawful rights and interests.
When personal data is no longer needed for its collection purpose and there is no other lawful reason to retain it, we take practicable steps to delete it or anonymize it so that it can no longer identify a particular individual.
When you delete your EasyLaTeX account, we handle the personal data associated with that account according to applicable data deletion procedures. Some data may need to be retained to fulfill legal obligations, handle outstanding transactions or disputes, safeguard the Services, or for other reasons permitted by applicable law. In such cases, we limit retention to the necessary scope and applicable period.
If you have posted content publicly on EasyLaTeX or shared projects, documents, or other materials with other users, account deletion may not automatically delete copies lawfully obtained by other users, content they have independently saved, or shared content that must be retained under the relevant features and permission settings. For relevant personal data still under our control, we will handle it in accordance with applicable law, relevant feature rules, and reasonably practicable technical measures.
For personal data that must be retained by law or on other lawful grounds, we take appropriate measures to restrict its use and delete or anonymize it in accordance with applicable requirements once the grounds for retention no longer exist.
Cross-border data transfers
To provide, maintain, and operate EasyLaTeX Services, we may, where necessary and in accordance with applicable law, transfer your personal data to countries or regions outside Hong Kong, including the United States and countries or regions where our affiliates, service providers, or other business partners are located.
When making cross-border transfers, we take practicable steps, in accordance with applicable laws and regulations and relevant data processing arrangements, to protect your personal data and ensure that it is used only as necessary for the purposes described in this Privacy Policy.
Depending on the circumstances, we may use contractual provisions, access controls, data security measures, and other appropriate safeguards to manage personal data involved in cross-border transfers and appropriately oversee the relevant recipients' processing activities.
If the personal data is also subject to data protection laws in other jurisdictions, such as those applicable in the United Kingdom or the European Economic Area, we will also implement the corresponding cross-border transfer safeguards where applicable under those laws. These may include transferring personal data to qualifying countries or regions, adopting applicable standard contractual clauses, or using other transfer mechanisms recognized by the relevant laws.
Where applicable law imposes additional requirements on a particular cross-border transfer, we will comply with those requirements.
Marketing communications
We may send you information about EasyLaTeX products, feature updates, promotions, and other related news.
To the extent permitted by applicable law, we may tailor marketing communications based on the preferences you provide, your interactions with EasyLaTeX, and your use of the relevant Services.
If we intend to use your personal data for direct marketing, or provide it to others for their direct marketing purposes, we will give you the required notice in advance and obtain your prescribed consent where required by the Personal Data (Privacy) Ordinance and other applicable laws. Without lawfully obtaining the required consent, we will not use your personal data for direct marketing in a manner inconsistent with the relevant legal requirements.
Your rights
Under Hong Kong's Personal Data (Privacy) Ordinance (Chapter 486 of the Laws of Hong Kong) and other applicable laws, you may have rights relating to your personal data, subject to the relevant legal requirements, including:
- Access to personal data: Request access to personal data we hold about you and obtain copies in accordance with applicable law.
- Correction of personal data: Request correction if you believe the personal data we hold is inaccurate.
- Withdrawal of consent or objection: Withdraw your consent where we process personal data based on that consent. For activities subject to specific legal rules, such as direct marketing, you may also refuse the relevant use or request that the processing stop in accordance with the law.
- Requesting deletion of personal data: Ask us to delete personal data. We will assess whether it can be deleted in light of applicable law, the purposes of processing, and retention obligations.
- Other personal data requests: Make inquiries or requests regarding the collection, use, retention, disclosure, and protection of personal data, which we will handle in accordance with applicable law.
To exercise these rights or inquire about how we handle your personal data, please contact the privacy email address specified in this Privacy Policy: contact@easylatex.ai.
To protect your personal data, we may need to verify your identity before handling a request and, to the extent permitted by applicable law, ask you to provide information necessary to confirm its content and scope.
We will handle your requests in accordance with the requirements and time limits prescribed by applicable law. Some requests may be subject to legal restrictions or may not be fully fulfilled because of applicable retention obligations, third-party rights, or other lawful grounds. In those cases, we will explain the relevant circumstances to the extent required by applicable law.
